Proposal and Scope Templates

€19one-time payment, digital download

A proposal with three price options, a scope of work that spells out what is and isn't included, a change request form and follow-up emails. For solo designers, copywriters and VAs.

What's inside

  • 6 DOCX templates, each in US Letter and A4
  • Proposal + Scope Workbook, 11 pages, US Letter and A4
  • READ-ME-FIRST file
More about this template set

Most scope creep starts in the proposal. If "two rounds of feedback" and "not included: extra pages" are never written down, every new request turns into an awkward conversation.

These templates help you write it down once and clearly:

  1. Proposal: goals in the client's words, how you'll approach the work, three options side by side (Essential, Standard and Plus, or your own names), what's not included and a timeline.
  2. Scope of work: deliverables, how many of each, format, feedback rounds, what you need from the client, and a "not included" list.
  3. Change request: a one-page form for anything outside the scope, with the extra cost and time agreed before you start.
  4. Service agreement starter (NOT LEGAL ADVICE): a plain-English outline of the usual headings, such as payment terms, ownership of work, cancellations and confidentiality. It's a starting point to take to a lawyer in your country, not a finished contract.
  5. Proposal follow-up emails: three short, friendly follow-ups for when a proposal goes quiet.
  6. Packages and rates sheet: a one-page menu of what you offer.

The printable workbook helps you plan before you write: pricing your three options, listing what's out of scope and deciding how many feedback rounds you want to offer.

Seven editable templates and a printable guide that take a new client from "yes" to a calm first week. Made for solo designers, copywriters and virtual assistants.

What's inside

  • 7 DOCX templates, each in US Letter and A4
  • Client Onboarding Guide, 12 pages, US Letter and A4
  • READ-ME-FIRST file
More about this kit

The client said yes. Now you need their files, their logins, a kickoff date and a clear picture of how feedback will work, and you don't want to type the same email from scratch for the fifth time this year.

This kit gives you the documents for the first and last steps of a project:

  1. Welcome email: what happens next, what you need from them and when you're available.
  2. Client welcome guide: a two-page "how we'll work together" document covering hours, feedback rounds, payment timing and how to reach you.
  3. Intake questionnaire: questions about goals, audience, examples they like and don't like, and who signs off.
  4. Kickoff agenda and recap: a 45-minute call plan and a recap email you send straight after.
  5. Asset and access request: a checklist of logos, copy, photos and logins, with a note on sharing passwords safely.
  6. Feedback and approval form: one place for the client to put comments and say "approved".
  7. Wrap-up and testimonial request: a handover note plus a short, polite request for a review.

The printable guide walks through the whole flow, with a new client checklist, a kickoff call sheet and a before-you-invoice checklist, so nothing gets missed between signing and the final invoice.

Every template uses yellow placeholders, so you can see at a glance what to change. Written in plain English that works for clients in the US, UK and anywhere else.

Freelance Money Tracker

€15one-time payment, digital download

One workbook for freelancers to track clients, projects, hours, invoices, payments and expenses, with a printable invoice and a dashboard that shows who owes you what.

What's inside

  • BriefAndBill-Freelance-Money-Tracker.xlsx (12 tabs)
  • Freelance Money Tracker Guide, 9 pages, US Letter and A4
  • BriefAndBill-Payment-Reminder-Emails.docx, US Letter and A4
  • READ-ME-FIRST file
More about this tracker

Who still owes you money? Which invoice is 30 days late? How much came in this month? If those answers live in your inbox, your bank app and your memory, this tracker puts them on one screen.

What's inside the workbook:

  • Dashboard: owed to you, overdue, received this month and this year, unbilled time, and the oldest late invoices with the reminder email to send next.
  • Clients and Projects: contact details, project type, quoted fee, deposit, dates and status, plus what is still left to invoice.
  • Time Log: hours and rates per project, marked as billed or not yet billed.
  • Invoices and Invoice Lines: numbering, due dates from your payment terms, an optional tax percentage, and status (Draft, Sent, Paid, Overdue) worked out for you.
  • Payments: part payments and deposits, matched to invoices.
  • Expenses: date, category, amount and whether you saved the receipt.
  • Monthly: invoiced, received and spent by month, a "set aside" figure based on the share you choose, and a chart.
  • Invoice Print: pick an invoice number and get a clean invoice page to save as PDF.

It uses your own currency and your own set-aside share. It's all plain formulas with no macros, and it works in Excel and Google Sheets.

The zip also includes five payment reminder emails, from a friendly nudge to a final notice. The Dashboard tells you which one to use.

This is an organiser, not accounting software and not tax advice. It doesn't know the tax rules where you live. Ask an accountant how to keep your records and how much to set aside.

I have a question before I buy

Email hello@mintagency.eu and we will get back to you.

Proposal and Scope Templates

Is the service agreement a legal contract?

No. It's a starter outline, marked "not legal advice" on every page. Contract rules differ by country and state, so have a lawyer check it before you use it with clients.

Will these help me charge more?

We don't promise any result. The templates make your options and limits clear. What you charge is up to you.

Does it work in Google Docs?

Yes. Open the DOCX files in Google Docs, Word, Pages or LibreOffice.

Can I use it with clients in any country?

The wording is plain English and avoids country-specific rules. Currency, tax lines and legal terms are left for you to fill in.

Client Onboarding Kit

Who is it for?

Solo freelancers who work with clients on projects: designers, copywriters, VAs, social media managers, developers and similar. It isn't built for agencies with account teams.

Is there a contract in this kit?

No. A service agreement starter is in the Proposal + Scope Templates, and it's clearly marked as not legal advice.

Can I put my own branding on it?

Yes. Change the fonts, colours and logo. You can send the edited documents to your own clients. You can't resell the templates themselves.

Freelance Money Tracker

Does it work in Google Sheets?

Yes. Upload it to Google Drive and open it with Google Sheets. It also works in Excel 2016 or later and in LibreOffice.

Does it calculate my tax?

No. It has an optional tax line on invoices and a "set aside" figure based on a share you choose. It doesn't know your tax rules, so please check with an accountant.

Can I use any currency?

Yes. Set the currency code once in Settings.

Does it send invoices?

No. It makes the invoice page. You save it as PDF and send it yourself.

Yes-to-Paid Bundle

Are the files linked to each other?

No. The spreadsheet and the documents are separate, so you can use any part on its own. The payment reminder emails match the "Chase with" column on the tracker's Dashboard.

Is any of this legal or tax advice?

No. The service agreement starter is an outline to take to a lawyer. The tracker is an organiser, not accounting or tax software.

Can I get the bundle if I already bought one product?

There's no automatic upgrade. Reply to your order email and ask.
